Teams and programs can add players after registration, however the player must be the same caliber players as the team or of lesser caliber.
If the player is a stronger caliber then they cannot join the team until the second half of the season, but must be added before the deadline. If the player is a stronger caliber than the rest of the teams you MUST should submit an adjustment request telling us that you are adding a better caliber player to your team. When registering the player, you must note that they are a stronger player in the "Other information about the player" question on the form.
The deadline for adding players in the deadline for submitting adjustments, this season that is 12/21/2025 at 6:00 PM. No players can be added after that date.
Players are adding using the same player registration form. The form will close on 11/14/2025 when the registration process closes and will reopen once the schedules are are posted.

AGE RESTRICTIONS
WMCYO divisions are set up based upon the current grade the player is in during that season. The age of a player only comes into play for an upper age limit. The age limits consider the possibility of a player starting school at a later age, and/or repeating a grade.
If a player starts school at an early age, they still must play on the team that corresponds to the grade they are in.
Players from a lower grade level can play up a level(s); however, it is strongly recommended that they play with or for appropriate grade level team.
In some rare cases players may advance or skip a grade level in school, an example moving from 3rd grade to 5th grade, in these cases the player may still be eligible to play on the younger grade level team.
WMCYO should be notified and approve the placement prior to adding the player to the roster.
Proof of the advancement is required.
The approval should be noted when registering the player.
In case of a player with special needs WMCYO may approve the player to play on a lower grade team.
WMCYO should be notified and approve the placement prior to registering the player.
WMCYO sets the criteria on a case by case basis, and due to privacy, no information will be shared.

Age Limits for 3rd & 4th Grade teams – The player may not turn 11 years old before January 1st of the current season.
Age Limits for 5th & 6th Grade teams – The player may not turn 13 years old before January 1st of the current season.
Age Limits for 7th & 8th Grade teams – The player may not turn 15 years old before January 1st of the current season.
Example For the 2019 – 2020 season a player who turns 13 before January 1, 2020 cannot play on a 5th & 6th grade team, they must play on a 7th & 8th grade team even if they are still in the 6th grade.
Coordinators are responsible for checking and confirming the ages of all players on their teams.
Players found to be ineligible after the start of the season are deemed ineligible and may be banned from playing the remainder of the season. WMCYO will make the decisions of the penalty on a case by case basis.
Teams and programs with multiple ineligibility issues may face the team or program being suspended from the balance of the season, face the possibility of probation during the balance of the season or future seasons, or may not be invited back for future seasons

Communicate issues early, do not wait until deadlines or your program might be unable to participate. Holding up the process for one team or one program holds up the entire league, so please do not be the reason your teams & players are not able to participate.

Coordinators are responsible for being the conduit for communication with their coaches and parents/guardians.
The WMCYO home page, www.wmcyobasketball.com should be shared with all coaches, volunteers, and parents/guardians.
Also ALL programs are required to have a Gmail account, this will is required for the Dashboards, Scheduling and Score Entry. The Gmail account is the only account that will have access to the above documents, this information is considered confidential so access will be kept extremely limited.

If you are entering team(s) in WMCYO Basketball and you are the coordinator for your program than you automatically become responsible for your program, players, teams & gym. Responsibilities include but are NOT limited too:
Knowing, informing parents coaches and volunteers of and following all WMCYO Basketball rules, polices and procedures. You cannot pick and choose what to follow and do. If you cannot or are not will to you should not be the coordinator.
Submitting all required forms and information by the required and published deadlines.
Being a conduit of communication between WMCYO and your parents, coaches and volunteers. This includes communications from other coordinators to your program or coaches about scheduling issues.
Required to provide your contact information (both cell phone and email) to WMCYO, which will be shared with coordinators, at which you can be reached 7 days a week. It is especially important to be available during game times and game days.
If WMCYO askes/requires you to attend or participate in a meeting about any issues you are required to attend. WMCYO makes every effort to accommodate attendees schedules however these meetings are often time sensitive.
You are required to keep all contact info provided by WMCYO confidential. They should not be shared with parents, coaches, or posted in a public manner.
Coordinators are NOT allowed to change divisions, substitute teams, or cancel schedules against any team or program without the approval of MWCYO. Occasional changes and adjustments are allowed - but WMCYO must be informed of the changed PRIOR to the game.
Coordinators are NOT allowed to prohibit or ban any teams or programs from their gym without the prior approval of MWCYO.
All scores from the week are required to be entered by 8:00PM on Sunday night. Failure to do so may result in your teams not being adjusted or improperly adjusted. In extreme cases teams may not be scheduled for future games or tournament.
Coordinators are responsible for submitting complete and accurate information about their players & coaches.
If a coordinator does not fulfill their responsibilities WMCYO Basketball reserves the right to request/require a new coordinator. If the programs choose not to replace the coordinator, then WMCYO may sanction the program and it may result it cancellation of schedules, prohibiting participation in the end of season tournament, and prohibiting future participation. Coordinators that abuse or share confidential information may lose access to their dashboard and the information.

WMCYO Basketball requires all adult (18+ years of age) coaches, assistant coaches, and team parent volunteers to have a valid CORI check done each year. It must be done each year. This includes those adults in the 2nd Grade Developmental program run through St. Thomas.
Catholic Programs - should have their CORI checks and any other requirements the Catholic Diocese of Springfield requires done through their parish or Catholic School. Please contact your parish office about requirements.
New - All Catholic programs must submit a form showing that their program is being sponsored by the parish or school, and that all the coaches, assistant coaches and team parent volunteers have met the Diocese of Springfield requirements. All coaches, assistant coaches and team parent volunteers must be listed on the letter and the letter must be signed by the Pastor of the parish, the parish's child advocate, or in the case of a Catholic school the principal.
The letter is to be submitted when your registration fee is paid, if anyone adult is added after that time an additional forms must be submitted.

All other programs - All coaches, assistant coaches, and team parent volunteers to have a valid CORI check done each year via WMCYO Basketball.
We will no longer accept letters from organizations about CORI checks.
Head Coaches should bring a color photocopy of the front and back of their license to the Coaches Meeting along with the MA CORI Form.
The head coach should bring the other coaches/volunteers copies in a sealed envelope to the meeting or coordinator can bring to registration.
CORI Requirements: The State of MA CORI form can be found by clicking the MA Cori Form button in this section. Complete CORI forms along with a color copy of both sides of the individuals drivers license must be provide to us.
WMCYO Basketball will be checking coaching rosters against valid CORI's if there are no valid CORI's or missing CORI's then a team may not be allowed to play.

When we ask you to evaluate your teams on the Team Profile, we ask you to place them in a division based on numbers D1, D2, etc. this is required so we can figure out a natural order and when everyone goes in the order.
When division lists and placement are issued, they are NOT necessarily the same divisions!. A team might be placed a higher or lower "number" division! Division numbers are exactly that numbers, and could as easily be colors, letters, animals or made up words instead of a number.
When we "break" up the divisions we take into account many details, including your requests and how many teams requested what and how many teams will be in that "division" for scheduling purposes. For scheduling purposes we cannot have small little divisions or your team will either play the other teams in their division "many" times or there we be may games that are not fillable.
When we assign divisions we placed all teams in order from highest (strongest) to lowest (weakest) then we determine reasonable breaking points. Typically the "top" division is called Division 1 (D1) - but it is possible that depending on requests that that group may contain D1, D2, D3 and maybe even D4 teams - if they are the top teams based on Team Profiles and Jamboree Evolutions. We have had time and cases where there are only 1 or 2 teams that request D1 &/or D2 then may people requestion D3, so there are teams that requested D3 that wide up in the TOP division which is called D1. That same goes for lower division names, the next strongest group after the "top" group becomes Division 2 (D2) and so on until the lowest group / division. In some cases, especially when there are a small number of teams in a grade and gender group, we have even just called it Pressing Division and Non-Pressing Division. Sometimes Divisions are so large we break them up in subgroups too.
We ask that you please read this carefully and before contacting us about specific teams you reread this too, this is often the biggest issue with team placement, A common comment "I requested D3 and I was put in D2...". Yes that is entirely possible if your tean is part of the "second strongest" group then they would.

There are 3 - 4 potential fees that need to be paid to WMCYO Basketball to participate in the league
Team Registration Fee:
For Catholic Parish & Catholic School Teams - $225.00 per team
For All other programs - $275.00 per team
Insurance Fee: 10.00/player
For this season ALL programs must pay this fee, there is no opting out or applying for coverage under your insurance.

Cancellation Fee Deposits: (2) $100.00 Checks
This season we are requiring (2) separate $100.00 checks. These will not be deposited unless you are charged a cancellation fee.
Blackout Fee (Optional): $25.00 per team per blackout date per team. This fee must be paid at registration or the blackout dates will not be applied. For more information please see the Blackout section on the Schedule page. This fee should be on a separate check from other fees.
Insurance & Registration Fees can be combined in the same check. Blackout Fee should be a separate check, as should the Forfeit fees be in two separate checks. A list of the fees owed (not including Forfeit fees) can be found on the Fee tab in your dashboard.
All fees need to be paid/submitted to WMCYO Basketball on registration days.

Any visiting team cancelling or requesting a change that the home team cannot or is not willing to change maybe assessed a forfeit fee of $100. If the visiting team cannot make a game they can avoid paying the fee if their coordinator finds a team to play in their place - the replacement team needs to be approved by both the home coordinator and WMCYO. In extreme cases (weather, COVID, etc.) WMCYO may opt to NOT asses a fee - but that if a decision to be made by WMCYO. Obligations to other leagues or tournaments are NOT extreme cases!
If your program uses both of their forfeit deposits, you program will be required to submit (2) more $100 checks. Failure to do so may result in your home schedule being cancelled or you teams not being scheduled for the remainder of the season or the tournament.

Almost all WMCYO programs charge an entry fee to watch a game, the fee can be up to $3.00 per person.
Players schedule to play in the game and up to a maximum of 3 coaches per team are admitted fee. Only players on the team that is scheduled to play are admitted free, players from other teams or games may be charged a fee.
It is a maximum of 3 coaches - you may be asked to sign in by the home program. If you are not a coach please don't claim to be one. The forth person asking will be asked to pay even if it is the head coach! Only people listed as coaches on your roster may enter for free, so if you only listed one coach then only one can be admitted free!
Gyms can and will report programs and teams that cause issues with paying and may be prohibited from playing again.
WMCYO Board members and Division Coordinators are also admitted free.

WMCYO Board has decided to continue this season that it is mandatory that ALL programs to purchase WMCYO Insurance regardless of any other insurance your program carries. This year's insurance rate is $10.00 per player.
(Reminder WMCYO Insurance is a "gap" insurance, which means it only covers medical expenses that are not covered by the individuals primary insurance.)
If there are any insurance claims during the season the program coordinator should contact Hugo directly, ideally within 24 hours of the injury. Hugo will provide you with any information and forms you need.

For the 2025 - 2026 season the jamboree is being expanded to include Girls 5th&6th Grade and Girls 7th & 8th Grade teams as well as ALL 3rd & 4th grade teams, both Boys & Girls and the 2nd Grade Developmental teams. The jamboree is MANDITORY and all teams are required to attend. The teams will be evaluated by several members of WMCYO and will be placed in divisions at the end of the jamboree based on their performance. At the jamboree the coach will be asked to confirm what players are in attendance or not, if a player is not in attendance the coach will be asked to confirm their abilities in comparison to the rest of the team. The coach should also inform the evaluators if their team's performance was above or below normal.

The schedule for the Jamboree will be released on the Monday or Tuesday prior to the Jamboree, there will be no adjustments. Attendance is mandatory.

Coordinators and Coaches need to remember that while the most important concern is for their players. At away games coaches are also responsible for their teams spectators. In the home gym the coordinator or gym coordinator should take responsibility for the home teams fans. If the gym coordinator has to stop a game or speak to parents / guardians / spectators from their team the coach should help address the situation. The Home Program Coordinator and or Gym Coordinators have the authority to removed disruptive people from their gym if needed. If the parents / guardian / adult refuses to leave the gym coordinators can suspend the game until they leave. If they still refuse to leave they can cancel the rest of the game and or call the police. It is in the players / teams be interest to not let any potential issue escalate to the point of suspending the game or need to call police. If a game is suspended because of adults behavior or issues the team that the offenders are associated with with forfeit the game, and the adults will face further sanctions from WMCYO Basketball.
Coordinators should report any and all issues to WMCYO ASAP. The issue should be reported to the Division Coordinator and they will get the appropriate WMCYO Officials involved.

WMCYO Basketball has made changes to these guidelines for the 2025 - 2026
Players are allowed to play on ONE and ONLY One team in WMCYO. Playing on more than one team may result in suspension, repeated offenses by the same player may result in removal from WMCYO. Players can play on other/multiple teams or in leagues outside of WMCYO.
Players must follow WMCYO age restrictions as outlined in the Age Restriction section.
Players should play for a team in their home community first and foremost, with preference given to Catholic programs over non-Catholic programs.
Exceptions can be allowed if a player attends a parish or school outside their home community, or if the family lives separately.
Proof may be required to grant exceptions.
If there are no WMCYO teams in their home community, then they may place for a program in a neighboring community. They should not travel across several communities to play.
Players that have played for a WMCYO program or team in prior seasons, should return to that program in future seasons.
Team shopping or team jumping is prohibited in WMCYO, especially if the object is to build a high level or elite team. Players, teams, programs deemed to be engaging in this practice may be prohibited from participating in WMCYO. We are not against high level or elite teams, but there are other leagues and opportunities for these teams.
Players must sign up or attempt to during the normal signup period for their community. Waiting to signup late or once the normal process for their home community closes in attempt to work around or find a loop hole will not be permitted, and the player will possibly be made ineligible to play in WMCYO.

WMCYO Basketball requires a minimum of three people be in a gym at any time, there is to be no one on one coach player instruction. There must either be two adults and player, or two players and an adult. This is required by the WMCYO Board and our insurance policy.

Again this season the Second Grade Developmental division will be run by St. Thomas - West Springfield. Again this season there will be no fees charged for this program, both Insurance & Registration fees are waived for these teams.
NEW - these teams must have their rosters, coaches, coordinators & schedules must be submitted via the standard process for all other teams. The rosters, profiles & coaches must be submitted by the same deadline as the 3rd & 4th Grade teams.
These teams MUST attend the jamboree. We anticipate that most of the teams will participate in the developmental program as usual. If the evaluators at the jamboree feel the team is too strong to participate then the team will be asked to join the 3rd & 4th grade division at a low level. If the team choses not to join they will not be forced to do so, however if they are too strong for the developmental program their schedule may be reduced or eliminated. Joining the 3rd & 4th Grade division half way through the season may not be possible.

All gyms are required to keep a official scorebook at each game. Gyms should have (2) scorebooks. The first for the game being played, the second for the next game, then alternate books for corresponding games. This allows the score book to be filled out while the current game is still being played. The head coach or their designee must fill out the book. Each player must have their FULL name (both first and last names) and their jersey number. Before the game the head coach needs to sign the book to confirm that it is correct.
In the event of an issue we will ask for a copy of the scorebook, and it must be sent within 24 hours of the request. Do not leave them in an area not accessible in case we contact you after you leave the gym for the week/weekend.
WMCYO Board Members will be visiting gyms and will check the scorebooks, if it is not correct the game will be stopped so that the book can be filled out completely. We will also look at past games, Home gyms that do not enforce this rule may have future games cancelled!

WMCYO Basketball has made changes to these guidelines for the 2025 - 2026
While WMCYO does allow programs outside the Catholic faith to join our league, we do place a priority on Catholic based programs.
Teams or programs must be comprised of players from a single community, and the players for those teams should be from that community.
Exceptions can be made if a player attends a school or church in another community, or if the parents are separated - however these cases should be minimal and reviewed and discussed prior to registering the player.
All players must be eligible based on age restrictions and player eligibility guidelines.
In the event that an occasional player needs a waiver it the coordinator's responsibility to secure the waiver in a timely fashion.
Last minute / late waivers or waiting until after registration closes in the community or program that must provide the waiver may result denial of the waiver an the player being deemed ineligible by WMCYO.
Waivers
Waivers should be for the occasional or minimal players. A team or programs requesting multiple and many waivers per team or for multiple teams may result in the team or program not being allowed to participate.
A team or program that is perceived to be using waivers to build a high level or elite teams may be prohibited from participating in WMCYO even if waivers are granted.
In the event that a program needs a waiver, the program coordinator requesting the waiver must contact the program coordinator of the program they are looking for a waiver from and request the waiver. If you need help contacting the program please contact WMCYO and we will help you with contact information. We will also be posting a list of programs and their home community to help you.
The coordinator granting or denying the waiver should inform the requestor of their decision and then will need to submit it via the form we are creating, the form will be sent to you as part of Step 2 of the Registration Process. (Both programs must be registered.)
The waivers or denial must be granted via the form, that way there is an official record to back up any disputes during the season. Also if it is denied the program denying it will be required to submit why it was denied also.
Before denying a waiver the program should consider if they have a space for the player to play. If they do not or will not add the player to their program, then they should consider granting the waiver. If not the denial is likely to be overturned on appeal (not guaranteed but likely). An obvious exception would be if the waiver is requested last minute. Also if a valid/suitable position is available then the appeal of a denial is not likely to be over turned.
A parent or family member joining an outside programs board or coaching will NOT be a guaranteed waiver or overturing a denial.
If a waiver is granted it should be noted by the program registering the player during the registering process in the question about additional information.
If the waiver is denied, it can be appealed to WMCYO Board by sending an email to the scheduling email.
The appeal will be heard by a panel of 3 WMCYO Board members appointed by the WMCYO President.
The panel will make the final decision on the waiver.
No team or program can refuse to play another team or program based solely on the granting or denial of any waiver(s).
WMCYO Board reserves the right to move or assign a player to any program or team if there is a justifiable reason, which may or may not be disclosed depending on the personal nature of the reason.

Typically after the first 3 weeks of the season adjustment requests can be submitted online via a form that will be placed on your dashboard. THERE IS NO IN PERSON ADJUSTMENT MEETING. All adjustment requests must be submitted via the form, by the deadline. No late requests will be accepted. No text, no email, no phone, or no in person requests will be accepted. If not summitted via the form the request will not be evaluated. Reminder these submission are requests, WMCYO Basketball makes all final decisions. It should also be noted that while the requests are summited after week 3 game, games continue typically through the beginning of January before the adjustments take place.
This season adjustment request deadline will be 12/21/2025, and games will continue until 1/1/2026. Adjustments will not take place until the second half of the schedule is issued, which will be games on or after 1/2/2026.
At the end of the season, before the tournament there is another opportunity to submit requests for adjustment for the tournament. All of the same rules apply to this adjustment.
Not requesting any adjustment or requesting a team not be adjusted does not mean that a team will not be adjusted, WMCYO may decide to adjust any team without approval or request.
Coordinators can submit adjustment requests and information about their own teams and may also submit information about teams they have played that they feel are placed incorrectly.
Coordinators can submit a request about each of their teams if they feel it is necessary. But each team has to be a separate request.
Adjustment requests are requests, WMCYO makes all final decisions.
The WMCYO Board reviewed this process at their Fall 2025 meeting and voted to continue the process of online submission only, and continue with no in person meeting. By everyone submitting online it allows all programs and teams to have equal opportunities. In person reviews cause confusion and delays, in person meetings would require the season to be shortened and less weeks and games played. The Division & Scheduling Coordinators will meet to review the requests, as well as standings and scores to make the decisions. Adjustments and adjusted divisions are not announced until the schedules are released as there will be no changes.

We are often asked if we can name each team on the schedules and rosters, unfortunately with the sheer number of teams and the way our automated programs work this would add an extreme level of complication and provide potential for errors in the programing; therefore we cannot. You are free to have team names and use them on your jerseys and even write them in score books as long as you also write the team number.
For WMCYO Basketball all teams are named with the program name, including home city, followed by gender and grade abbreviations and finally a number. The number is based on the number of teams you have, and has nothing to do with their division number; however the "best team" should have the highest number - regardless of their ages or grades. Just because you have a oldest team or team that has played of your program the longest you should NOT make them the number one team. Also when is comes to pressing if a team wants to press or possibly press then they should be your lowest number teams too! This should not conflict much with the strongest teams guideline, because your strongest teams should likely be pressing if a weaker team wants to press.
Example: if you have three teams in Boys 5th & 6th Grade and one is all 6th graders, one is 5th & 6th Graders and one is all 5th Graders, and the team of all 5th Graders is the best team, then even though they are the youngest team you should make then your B56-1 team. If the mixed grade team is the next strongest they should be B56-2, and the finally the oldest team should be B56-3.
Example 2: if you have four Girls 5th & 6th Grade teams, (2) teams of 6th grade and (2) teams of 5th grade and one of each teams want to press then the G65 6th grade team that wants to press should be G56-1 (if they are stronger than the 5th grade team that wants to press), then the 5ht grade pressing team is G56-2, then 6th grade non-press is G56-3 and finally G56 team that is 5th grader non-press is G56-4.
If you fail to make your strongest team & pressing teams the lowest number when you have multiple teams then it increases the possibility for your teams to me placed incorrectly. We realize that some programs have always just randomly assigned the numbers or assign he oldest team the lowest number - but that needs to stop as it leads to teams being mis placed!

3rd & 4th Grade Teams and 2nd Grade Developmental Teams will be scheduled & placed at the jamboree based on the Team Profile (Evaluation) form you submit in Step 3C of the registration process. At the jamboree they will be evaluated against teams that had the same division evaluations by their respective coordinators. After the jamboree the WMCYO members that viewed all teams will place the teams in divisions based on the performance at the jamboree. While the evaluators may tell you your approximate placement, it is not official until we see all teams, as numbers and divisional lines may adjust. The divisions will not be announced until the the first part of the schedule is released. The only exception will be the 2nd Grade Developmental teams, if the evaluators feel that the team is too strong for the Developmental League then they will informed & a discussion will be had about options (which would likely involve them playing in the low division of the 3rd & 4th program.) There will be no adjustments until the end of the first half of the schedule, so do not request one.
Boys 5th & 6th Grade and 7th & 8th Grade Teams are placed in divisions based on the Team Profile form submitted by the coordinators about their own teams. For 5th & 6th Grade and 7th & 8th Grade teams it cannot be stressed enough that your request about pressing will drive your placement. Please see below for suggestions about filling out the Team Profile.
Girls 5th & 6th and 7th & 8th Grade Teams will be required to attend the Jamboree this year and will be placed using the same method as the 3rd & 4th Grade teams. Please see below for suggestions when filling out the Team Profile in regards to pressing.
When filling out the team profiles we ask that you fill them our completely. We use the whole form when reviewing the teams, but the two main driving factors for placement are the division request and the pressing request.
For 5th & 6th Grade and 7th & 8th Grade teams it cannot be stressed enough that your request about pressing can/will drive your placement.
If you choose "Yes - Definitely Want to Press" then you are all but guaranteed that you will be put in a pressing division. Therefore if you request to be D4 but Definitely Want to Press you will be placed in a the lowest pressing division with could be D1 or D2. Also if you believe you are D1 or D2 there is a strong chance you will be in a pressing division regardless of your press request.
If you choose "Yes - Want to press if it makes sense with our divisional placement" then there is a more than likely to be placed in a pressing division, especially if you are requesting D1, D2 and sometimes in Boys Divisions Upper and Middle D3. If you request this option but are selecting lower divisions then you will be less likely to be placed in pressing - but depending on requests of similar teams you maybe required too.
If you choose "Prefer no pressing, but as long as competitive pressing is ok" then is it more likely then not you will not be placed in pressing, unless you are requesting a top division and everyone is pressing.
If you choose "No -definitely do not want any pressing" then we do our best to place you in a non-pressing division; however if you choose D1 (sometimes D2) and choose this you will likely be placed in a pressing division.
Be reasonable and realistic when filling out the Team Profiles, placing a team too high is not good and placing them too low will likely cause them to get moved up (possibly substantially.) Profiles should also be filled out by the coordinators (NOT COACHES) although we strongly suggest you get their input. Past experience shows that coaches that submit them without coordinator review place them wrong and ultimately cause issues.
Team profiles are requests/suggestions about placement. WMCYO Basketball makes the final decision on placement. Placements will NOT be announced until the first part of the schedules are released. There will be no adjustments or changes made prior to the adjustment period and second half of the schedule is published. If there are extreme or extenuating circumstances WMCYO Basketball will review the situation and work to mediate situations when possible; however prior to games starting or 1-2 game will not be considered extenuating.
WMCYO Basketball attempts to place teams in a position which they will play competitively, which means some wins and some losses. In some cases that might even result in more losses then wins. This is why we adjust teams midseason and again for the tournament.
