It is part of the Program Coordinators responsibility to register the program. Program registration is a multi-step process and must be done in order. Later steps cannot be completed before the prior step is completed.

All programs that wish to enter WMCYO Basketball for the 2025 - 2026 season must submit their intentions by completing the Program Registration form which can be found by clicking the button.
Please note that even if your program has participated in WMCYO Basketball in prior years you must still complete this form.
The CYO Basketball League of Western Mass welcomes programs outside of the Catholic faith, however Catholic programs and teams are our priority. When reasonable and possible they will be prioritized over outside programs.
Programs that register are not automatically admitted just by completing the form, ALL programs must be approved by WMCYO Basketball.
If approved the coordinator will be emailed a link to the next step. Please note links to other steps are NOT posted anywhere publicly they will only be available via the email sent. If there is an issue or questions about your program a WMCYO Board member will be in contact to discuss your request and review any issues.
The deadline for completing the Program Registration form is 10/31/2025, however please register as soon as possible. Step 2A is also due by 10/31/2025 and Step 1 needs to be complete and approved for access to Step 2A.

Once you have completed Step 1, the coordinator and program GMAIL will be emailed a link to complete this Step2A.
This step is reporting to WMCYO how many teams you will have in each gander and age group, this is only the number of teams.
This season you will also have to notify WMCYO of the teams you are entering in 2nd Grade Developmental program, which will be run through St. Thomas, as part of this process.
The number of teams you submit is NOT a binding commitment, if you are unsure of whether you are going to have a team it is better to submit is via the form as this is how teams get added to the forms in step 3 and beyond.
Once the form is submitted you cannot make changes, if you have any changes you need to email the schedule email.
The deadline for completing this step is 10/31/2025, however please complete as soon as possible - Step 3 (all parts) are due 11/14/2025. You cannot access any parts of Step 3 until Step2A is complete.

This step is only used if a waiver is needed, it is to be submitted by the program granting or denying a waiver. If no waviers are requested then this form does not need to be submitted. Once you have completed step 2 you will be emailed a link to complete this step. This step is adding players to your teams.
Once the form is submitted you cannot make changes, if you have any changes you need to email the schedule email.
Players do NOT automatically appear on your roster in your dashboard, they will not appear on your dash board until approved. While approval usually is completed with 24-48 hours, due to personnel issues approvals may take longer then usual.
Players are NOT eligible to play in any games until they are approved, once approved they will appear on the roster which is accessible from your dashboard. If the player does not appear on the roster they should not play in any games with out WMCYO approval. Also if a player has a comment next to their name that needs to be resolved prior to playing.
When players are approved, that is based on the information we have at that moment. It is possible that a player can be disallowed after initial approval for many reasons. The biggest issues being:
Incorrect info entered by either accident or intentional means.
Player appears on more than one team, remember player can only play on ONE WMCYO TEAM.
Player is being challenged by a program for not receiving a waiver.
Reminder you should contact a program that needs to provide you are waiver for a player ASAP, waiting until the 11/14/2025 deadline will likely result in player eligibility!
If you have requested a waiver but have not heard back from the program, and you wish to register the player you should note in your response to "Is there anything special we need to note about this player?" It is strongly suggested if their home community is different then your programs home community you tell us why they re playing for your program.

Player Registration will reopen after registration for late additions - however additions are limited and must follow the Player Addition Guidelines & Player Eligibility Guidelines. Late additions will close on 12/20/2025, when the request for adjustments close. After that time players will only be added in extreme and extenuating circumstances, additions after 12/20/2025 may be declined by WMCYO Basketball.
Reminder if a late addition changes the caliber of the team that should be noted in the response to "Is there anything special we need to note about this player?" it also should be submitted as information on an Adjustment request form. Failure to do so may result in the player becoming ineligible.

Once you have completed step 2 you will be emailed a link to complete this step. This step is adding coordinators & coaches to your program. Both a valid email address and phone number are required. The coordinator list is shared with all coordinators, the division directors and WMCYO personnel. The coach list is NOT shared with anyone other then the division directors and WMCYO personnel.
All coaches, assistant coaches, & parent volunteers working with the team should be listed. All listed need to be CORIed based on the CORI policy on the the Coordinators page.
Note: the main/primary coordinator & program Gmail do not need to be registered they were automatically registered when the program was registered.

Please honestly evaluate your team based on the forms requirements. See the Team Placement & Evaluations, as well as the description of the pressing request, section on the Coordinators page for more guidance. Profiles should be completed by the COORDINATORS, coaches can (and probably should) have input. Past experiences show that allowing a coach to the complete the form on their own usually causes teams to be placed incorrectly.
Unlike players, coaches, and coordinators these form will be visible on your dashboard as soon as they are posted. However like players coaches and coordinators they cannot be edited if you need anything edited you need to email the schedule email.

Once you start entering your rosters your dashboard will be activated and send to the program Gmail. It is only accessible from the program Gmail, you cannot grant access to anyone else and WMCYO will not grant access so do not try and share it requests via Google will be ignored & deleted without response. In extreme or rare circumstances we will on a case by case basis allow an alternate.
The information on the dashboard is considered confidential, other then the team schedules, and should not be shared, or distributed in any manor including printing.
Your home schedules are submitted via the dashboard.
